FindMyPhoto — Privacy outline for creators
This outline is not legal advice: it is a starting point. Have it checked for your own event before you use it.
When you host an event on FindMyPhoto, you are the controller for its photos and for your guests' data (see the Creator Terms). Your attendees need to know, before the event, that photos are taken and how they are delivered. Paste the text below into your privacy policy or event information, and use the two short lines on your ticket page, your invitation and a sign at the venue. Replace the placeholders:
- {EVENT_NAME}: the name of the event, as shown on the event page.
- {CREATOR_LEGAL_NAME}: your legal name or the registered name of your organisation.
- {CREATOR_EMAIL}: an email address where attendees can reach you about privacy.
- {RETENTION}: the date the photos go offline, which is the end of the retention period you chose (1, 3 or 12 months, counted from the day you set up the event, or from the event date if you set it up in advance), for example 15 March 2027 (in Dutch: 15 maart 2027). Everything is deleted within 7 days after that date. The creator portal shows this date. If you extend the period, update the date.
- {EVENT_URL}: the event link, for example https://event.findmyphoto.app/K7M2QX (opent in een nieuw tabblad).
If you switch on "Anyone with the link can see all photos" (the open gallery) for the event, also add the optional paragraph for an open gallery below, and its line on the sign at the venue.
English: text for your privacy policy
Photos at {EVENT_NAME}. Photos are taken at {EVENT_NAME}, and you may appear in them. We share them with attendees through FindMyPhoto, so that everyone can get the photos they appear in. We do this on the basis of our legitimate interest in capturing the event and giving attendees their photos (Article 6(1)(f) GDPR); you can object at any time.
Who is responsible. {CREATOR_LEGAL_NAME} is responsible (the controller) for the event photos and for the data of guests who use FindMyPhoto for this event. You can reach us at {CREATOR_EMAIL}. FindMyPhoto (S-Industry, Rotterdam, the Netherlands) processes this data on our behalf and only on our instructions.
What happens to the faces in the photos. To make the photos searchable, the faces in them are indexed by Amazon Rekognition on servers in the EU (Ireland): each face is turned into a set of numbers and stored in an index that belongs to this event only. The index holds no names or other details, is not used to train any AI model, and is deleted together with the photos. The photos are stored in the EU (Stockholm).
How guests find their photos. Guests who want their photos go to {EVENT_URL}, take a selfie and give their explicit consent (Article 9(2)(a) GDPR) before the selfie is used. They choose between "Find my photos once" (the selfie is deleted right after the search) and "Keep me posted" (the selfie is kept while the event is open, so that new photos can be checked, and then deleted). The selfie is compared only with this event's photos and is never added to the index. Guests then get a personal link to their photos by email. If the General tab is on for this event, guests who sign up can also see all photos of the event. Guests can download the photos in full size, unless we have limited downloads to watermarked copies or to viewing only.
How long. The photos, the face index and the guests' matches stay online until {RETENTION}; they are then taken offline and deleted automatically within 7 days. If we extend this, the event page shows the new date.
Your rights, also if you did not sign up. You can ask us for access to your data, or for a photo of you to be removed from the event and its face index, and you can object to your face being indexed, even if you never signed up with a selfie. Email {CREATOR_EMAIL}, or FindMyPhoto at support@findmyphoto.app, with the event link and the photo (a screenshot is enough). You do not need to send a selfie. Guests can withdraw their consent at any time: in the app with "Leave event", or on the website under "Your data" in their gallery. You can also complain to the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) or to the authority in your own country.
Children. You may sign up with a selfie only if you are 16 or older. Parents and guardians can ask us at {CREATOR_EMAIL} to remove photos of their child.
More information. FindMyPhoto's Events Privacy Addendum at https://findmyphoto.app/privacy-events (opent in een nieuw tabblad) explains the details.

Anyone with the link can see the photos. At {EVENT_NAME}, anyone who has the event link or QR code can see all photos of the event at {EVENT_URL} and, as far as we allow, download them, without a selfie and without signing up. If people who were not there get the link, they can see photos of you too. If you do not want a photo of you to be visible, email {CREATOR_EMAIL} and we will hide that photo. You can also ask us to close the gallery.

Wie is verantwoordelijk.
Hoe gasten hun foto's vinden.
